Job Description Essential Duties and Responsibilities: The Administrative Assistant and Bookkeeper position is responsible for providing office support, clerical, and daily bookkeeping tasks to ensure MEJC adheres to best practices and requirements for non-profit business operations and reporting. Confidentiality, efficient time management, excellent organizational skills, and attention to accuracy are essential qualifications for this position, as is the ability to communicate clearly. Bookkeeping: Assist Operations Director with accounting activities and reports. Responsible for essential tasks relating to Accounts Payable and Accounts Receivable as directed by the Operations Director and in accordance with MEJC---s accounting policies and procedures. Responsible for maintaining the general ledger in QuickBooks. Maintain, reconcile, and report on the petty cash fund. Maintain an accurate and organized file system. Prepare report data for the Operations Director to ensure timely compliance with local, state, and federal government reporting requirements. Conduct reconciliation of all accounts, on an as needed basis. Provide information to the external accountant in a timely manner, as needed. Perform payroll functions in an accurate and timely manner and assist Operations Director with benefit management for the organization Administrative Support: Maintain up to date grant records in the organizations Salesforce database Check inventory, order, and purchase office supplies, as requested by the organizations leadership Respond to questions and requests for information from grantors, reporting agencies, etc., as requested by the organizations leadership Answer incoming calls and other receptionist duties, as requested by the organizations leadership Send out donor acknowledgements Qualifications: Bachelor---s degree in accounting or business administration, or equivalent business or non-profit operations experience Knowledge of nonprofit bookkeeping and generally accepted accounting principles QuickBooks and Excel expertise A basic understanding of non-profit business operations Excellent written and verbal communication skills Ability to understand financial data, processes, and procedures Perform job responsibilities in an efficient and timely fashion. Computer proficiency in Word A high degree of attention to detail, accuracy, and organization Friendly and customer service oriented Belief in and commitment to social, racial and environmental justice. MEJC works to achieve this goal in alignment with the EJ Principles through increasing knowledge, enhancing networks and taking action for systemic change. We are a membership-led organization, with over 40 individual and organizational members from diverse skill sets, backgrounds and identity. MEJC convened in 2011 to grow the environmental justice movement in Michigan. Every two years MEJC hosts the EJ Statewide Summit to bring together local EJ groups, leaders of color, and tribal members to strategize and amplify their fights. In 2020 we hosted the 4th EJ Summit, led 3 major campaigns in energy democracy, toxics, and cumulative impact, deployed 3 community action research projects, and engaged in the Get Out the Vote efforts in Michigan reaching over 65,000 EJ voters. By 2023 we hope to define climate justice in Michigan for an ambitious climate agenda.
